Short answers for daily use – from recording to your personal medical dictionary.
01 · Basics
Start and stop recording +
Start recording with the central microphone button or the shortcut selected in Settings. A live transcript appears while recording. Press again to stop and complete processing. The live transcript can also be hidden, as experience shows that many users then speak more freely and fluently. Slips of the tongue or grammar do not need to be corrected while speaking.
Raw transcript and edited text +
The raw transcript reflects what was spoken. The edited text improves language and punctuation. Both fields can be edited before insertion.
Insert text directly +
‘Insert text’ places the result in the active target field. Accessibility permission must be enabled. Alternatively, copy the text to the clipboard.
Import audio files +
Drag an audio file, for example from Voice Memos, directly into the raw transcript field. DictOnce processes it using the same language and specialty settings as live dictation.
02 · Medical vocabulary
Maintain your personal medical dictionary +
Add names, medicines, abbreviations and rare medical terms. Your personal dictionary is stored locally and remains available independently of any specialty pack.
Learn terms from documents +
PDF, DOC, DOCX and TXT documents can be analysed locally. You then decide which spellings to add to the dictionary.
Save corrections +
Select an incorrect passage and save the correct spelling. Clear recurring errors can also be stored as automatic corrections.
Use specialty packs +
Specialty packs extend the base dictionary with specialised terms. Installed packs can be enabled and updated in the dictation settings.
03 · Settings
Language and output format +
Choose the dictation and output language as well as formats for dates, times, numbers, percentages and units. The interface is available in German, English, French and Italian.
Shortcuts and automation +
Recording, copying and insertion can be controlled with custom shortcuts. DictOnce can optionally keep its window in the foreground.
04 · Help
The microphone is unavailable +
In Privacy & Security → Microphone, check that DictOnce is allowed. Then verify the correct input device in Sound settings. A monitor’s built-in microphone is usually well suited. For external microphones, we recommend a USB microphone such as one from RØDE.
Text cannot be inserted directly +
Enable DictOnce under Privacy & Security → Accessibility. After a new installation, the app may need to be restarted.
Recognition is inaccurate +
Check the microphone level, background noise and dictation language. Speak in complete units of meaning and add recurring specialist terms to your personal dictionary.
