Sign in with an existing account or create a new DictOnce user.

1. In the start window, choose sign-in with Apple, Google or email.
2. For a new user, enter a display name, a valid email address and a password of at least twelve characters.
3. Optionally set a four- to six-digit numeric code. It provides quick access after standby or screen lock.
4. On a shared Mac, select your personal profile before dictating. DictOnce then loads your settings, dictionary entries and text blocks.

Important: The numeric code makes user switching easier, but it does not replace full account authentication when a new sign-in is required.

Choose languages and an editing mode, start dictation and transfer the finished text.

1. Choose the input and output languages. Different languages allow translation with specialist editing.
2. Choose Transcription for wording close to the original, Specialist for medical optimisation or Finesse for smoother wording and paragraph structure.
3. Start and stop recording with the button or assigned function key. With automatic editing enabled, the raw transcript is edited automatically afterwards.
4. Place the cursor in the raw transcript to dictate an addition at that position. Right-click a word for further correction options.
5. Copy the finished text or transfer it for direct insertion into the required text field.

Important: The maximum recording time is ten minutes. A warning appears after nine minutes; at ten minutes DictOnce stops and transcribes automatically.

Menu bar mode hides the main window and inserts the finished text directly into the target application.

1. Activate menu bar mode and place the cursor in the required text field of the target application.
2. Start and stop recording with the assigned function key.
3. DictOnce uses the editing mode selected in the main window and inserts the finished text directly.
4. The icon is green when ready, red while recording, orange during transcription or editing and grey when the system is not ready.
5. Use the DictOnce icon menu to switch user or editing style, open settings, leave menu bar mode or quit DictOnce.

Important: Before recording, make sure the cursor is in the intended target field and the DictOnce icon is green.

Use the DictOnce menu to manage your account, shortcuts, automation, specialist packs, output formats and permissions.

1. Under Account, review the subscription, organisation, user seats and devices. Each user can register up to ten devices, but dictation is allowed on only one device at a time.
2. Under Dictation, assign keys for recording, transferring text, copying and menu bar mode. Recording can use toggle or push-to-talk behaviour.
3. Under Automation, control automatic editing. Under Specialist packs, install and select language- and subject-specific terminology collections.
4. Under Format, choose how units, times and numbers are written.
5. Under Permissions, check microphone and Accessibility access. Under General, choose the interface language and whether the main window remains in front.

Important: An active DictOnce session on another device can be ended from account management.

A few simple measures give DictOnce a clearer audio signal and the correct specialist context.

1. Speak clearly and avoid noisy surroundings where possible.
2. Speak towards the microphone and select the language you are actually speaking as the input language.
3. Dictate fluently, as in a conversation. You do not need to speak punctuation marks.
4. Choose the appropriate specialist or domain pack for the language and subject area.

Important: A quiet environment and a consistent distance from the microphone are usually more important than speaking especially slowly.

Existing recordings can be transcribed directly in DictOnce.

1. Drag an audio file containing dictation into the raw transcript field.
2. DictOnce reads the recording and displays the recognised speech as a raw transcript.
3. For a simple mobile workflow, record the dictation with Apple Voice Memos.
4. After synchronisation, open Voice Memos on the Mac and drag the recording into DictOnce.

Important: Before importing, check the input language and select the appropriate domain pack for specialist text.

Choose the dictation language: commands follow that language independently of the interface. The wave icon beside a text field explicitly treats the next recording as a command. Start recording, speak the command, stop. Unrecognised commands are then kept out of the text. Clear commands also work without activating this mode.

1. Select text with the mouse or a voice command to enable bold, italic and lists, also available by right-click. Double-click selects one word. Select last sentence refers to the entire active field. End of paragraph moves the cursor to the end of the current paragraph.
2. New line inserts one line break. End paragraph and End list move to a new line without an empty paragraph. Begin list uses dashes; only Begin numbered list uses numbers. Automatic commas and semicolons separate items in an active list. Next item makes the separation explicit. An explicitly dictated comma stays within the item. A dictated colon replaces an automatic full stop.

Important: Literally writes out the next word. Punctuation explicitly requests a punctuation mark. Choose the intended match when several are found. Replace with without following text replaces the selection with the next dictation. Undo reverses the last change. Commands edit only DictOnce fields. Pasted formatting depends on the destination app.
